A Case Study on Acquisition and Arrangement at Institutional Archives at an Art Museum: Focus on the National Museum of Modern and Contemporary Art, Korea (미술관 기관아카이브의 기록물 수집과 정리에 관한 사례연구 - 국립현대미술관 미술관자료를 중심으로 -)

  • The National Museum of Contemporary Art, Korea began operating the museum archives in October 2013. Although the museum archives have an independent flow that is distinct from discussions of the archival sciences, it is a reality as a record management organization, and therefore, access to and analysis from the viewpoint of archival science is required for efficient operation. The purpose of this study is to diagnose the method of collecting and organizing records from the viewpoint of archival sciences from the Institutional Archives of the National Museum of Contemporary Art, Korea. To this end, we theoretically examined the function of the museum, the role of the museum archives, and the scope and method of collection and arrangement of the museum archives. Based on these discussions, we analyzed the scope of the collection and the system of arrangement of the institutional archives. Then, we suggested some improvement plans.

Research Trends and Issues of Records and Archives Classification in Korea (기록분류에 관한 국내 연구 동향과 과제)

  • The study aims at reviewing research trends of records classification and archival arrangement, analysing issues, and suggesting futures tasks in related research area. It starts with defining research categories of records and archives classification through analysing the term of 'classification' being found in the Public Records Management Act. Thirty five research papers which are covering classification of records and archives and published in 1980's are selected for contents analysis. Considering the analysis of domestic and foreign research, and the practical needs, it makes clear the issues and tasks for future research. The study concludes with emphasizing more empirical research for guiding records and archives management and reformulating archival theories in electronic environments.

An Archival Study on the Arrangement and Description of Old Document(Diploma) (고문서 정리(整理)에 대한 기록학적 연구 - 새로운 고문서 정리 방법의 모색을 위하여 -)

  • An Old document(Diploma) is a historical and unique record, so it must be collected, arranged, and preserved for research as soon as possible. Especially, for the effective use of the Old Document(Diploma), it is needed to arrange and describe the material systematically on the ground of modern archival theory. The Kyujanggak Archives in the Seoul National University has published 23 volumes of Old document(Diploma) material Old Document(Diploma). But they seem to cause the readers inconvenience, because the materials are classified and gathered only by genre, the titles or the orders of the materials are not standardized, and there is no description about the content of each Old document(Diploma). Jangseo-gak Library in The Academy of Korean Studies has also published the series of Old document(Diploma) material Old Document(Diploma) Collection. However the case is not different, since they are all mixed up with materials classified and gathered by genre, family, academy, or local school. And a great part of the materials have no titles and no description about the content of each Old document(Diploma), either. About the arrangement and description of the records, European and American archival science has established the theory of l)the principle of provenance, 2)the principle of original order, 3)levels of control, 4)collective description. These theories are valuable for the effective use of Old document(Diploma). On the viewpoint of the principle of provenance, Old document(Diploma) materials should not be classified by subject and genre, but by family and person. Then, the Old document(Diploma) materials, after collected by the unit of family or person on the viewpoint of the principle of provenance, should be arranged in their original order for more detailed arrangement and furthermore, for the work to find their relationship. This is so called the principle of original order. The hierarchical management of the Old document(Diploma) materials, for example, classifying by record group, sub-group, series, item and so on, is the concept of the levels of control, and comprehensive description of the each hierarchical structure is the concept of the collective description. Let's apply these archival theories to 34 pieces of the Chung, Man-Seok's material in the series of Old document(Diploma) material Old Document(Diploma). First, collect the Old document(Diploma) materials into Chung, Man-Seok's collection(the principle of provenance), which were scattered in the series classified by genre. Secondly, rearrange them chronologically(the principle of original order), and then we can find the comprehensive information about Chung, Man-Seok. For the hierarchical management of the Old document(Diploma) materials, we should establish a few concepts from the general, large group to specific, small item. The concepts can be organized as following; l)record group(Chung, Man-Seok record group) - 2)sub-group(personnel document, property document, family document, social activity document, political activity document, etc) - 3)series(gyoji-series, gyoseo-series, yuji-series etc. in the personnel document) - 4)folder(document with additions) - 5)item(one document). According to the the theory of the collective description, in the level of record group, there should be a collective description of Chung, Man-Seok's biography or a summary of record group. Similarly, there should be a collective description of a summary of sub-group in the level of sub-group and a summary of series in the level of series.

The study of the business archives management in POSCO (포스코 보존기록물 관리에 대한 연구)

  • To understand modern society, I think we should know both public records and corporate records. However, the business archives are in private sector for their great importance of current value. The corporates expect cost-benefit effect, management of the business archives are relatively inferior. In this article, I would study the archival management in the POSCO, a similar public corporation, through the archival theory and the research papers for the business archives management in the United States. I examined the POSCO's records category and management department to prescribe in the POSCO's related rules. And I map out organizational status of the POSCO Museum in the POSCO I examined activities of the POSCO's archives acquisition method about the records which left out the records management rules, unavoidably scattered and lost, or the records related the POSCO are created outer the corporation. I made up arrangement scheme of the archives with it and gave the code to mix the character and the figure. In accordance with the arrangement scheme of archives, I extracted the description elements of organizational structure and function and of real records. The former is guide level and the latter is in detail. The POSCO Museum used the business archives to publish the corporate history and to exhibit, but in another corporation, usage of the business archives was various, it is contacted current activities of the corporation. Through the case study, the archivist in the corporate archives developed the contemporary values to use the archives of the corporation. And I presented the potential of the POSCO's Museum to become corporate archives in the POSCO.

A Study on Position and Performance of Private University Archives (사립대 아카이브즈의 위상과 기능에 관한 연구)

  • This study is for why Korean private universities make high position and performance on their archives. It's needless to say that archives of university is desperate for democratic management, historic and cultural identity and administrative efficiency. As for archives of private university, it has to be set by its own organization as the name of '00 university archives' if possible. At the same time both 'administrative structure' and 'working-level structure' should be activated for the better output. It might be helpful to empower itself. Archives of private university have to fulfill these basic role; aquisition, arrangement, classification, preservation etc./service/study of archival science /university history compiling. It could be expand to the link between university and local community, open class and digital archive service.

  • Bibliographical Description for Revolutionary Historical Archives is created to describe records at the item level. It defines descriptive elements, punctuations, formats and methods. Descriptive elements are composed of 20 elements, each of which is either mandatory or optional. Mandatory elements are: repositories codes, documents codes, dates, creators, title, classification codes, and subject vocabularies. Abstracts were previously included in card cataloging and are removed in the computerized system. New elements, such as "uncontrolled vocabularies," "name of places," "personal names," "organizational structures" and "meetings," are added to allow keyword search. Considering that subject vocabulary searches are the most important in computerized systems, however, Guidelines for the Subject Indexing for Revolutionary Historical Archives as well as Subject Headings, as a result from the Guidelines, are created. The most extraordinary features in Chinese archival description are said to be the Guidelines for the Classification Indexing for Revolutionary Historical Archives and Materials as well as the Classification Scheme, both of which are created to allow subject search of records content. It is because Chinese practice of records management distinguishes the classification for arrangement from that for retrieval. Chinese archival description is, therefore, composed of bibliographic description rules, subject headings, and the classification scheme for retrieval.

Function-Based Classification System for Public Records of Government-General of Chosun (조선총독부 기록물을 위한 기능분류체계 개발 연구)

  • Public records, produced during the period of Government-General of Chosun. are essential sources for Korean modern history research. The purpose of this study is to provide a guideline for developing function-based classification scheme for the records. This present paper begins with analyzing archival principles regarding the function-based classification. and examines the problems of current arrangement practices. Based on these analyses, it suggests a guideline for constructing a classification system and a functional thesaurus for the public records of Government-General of Chosun. This guideline also covers functional analysis process and some considerations of different classification aspects which are conceptual, verbal and notational.

  • Russian State Historical Archive (Rossiiskii gosudarstvennyi istoricheskii arkhiv - RGIA) received its present name in June 1992, and before 1961 was known as TsGIA. RGIA holds the major records of high-level and central state and administrative institutions and agencies of tsarist Russia from the eighteenth century to 1910s (except the records of the Army, Navy, and the Ministry of Foreign Affairs), as well as fonds of social organizations, institutions, and individuals of prerevolutionary Russia. The main goal of this article is to assist understanding russian principle on arrangement and classification archives with its historical development focusing on one of the biggest historical archive in Russia. The primary set of historical records in RGIA remain arranged in 3-steps classification system: fond (collection) -- opis' (inventory) -- delo (file). In this general survey of RGIA author offers detailed information on the collection of archives and the system for classification of its huge amounts of primary sources in connection with influence upon historical studies. Despite the general economic crisis Russian archives are struggling to keep their doors open for public research and are exerting their energies in present electronic information to scholars and other researchers from throughout the world. The result, however, is not rewarded enough, considering the effort involved.

  • Lenin's decree of 1 June 1918 'On the reorganization and centralization of archives in the RSFRS' is appreciated as an institutional and conceptional basis for Socialist archival theory and practice not only in USSR but also in most countries of the socialist community. In spite of its importance to the making role to build the 'landmark' in the history of russian archives. This paper focuses on the activities and achievements of archivists in 'RAD Union(Union of Russian archives activists)' in revolutionary situation of 1917-1920. To preserve documental heritage with historical values in difficult situation of 1917 historians and archivists in 'RAD Union' voluntarily cooperated with new governments. This special situation led them to make more efforts at reformulating national archival system, namely, the state Archival Fond (Gosudarstvennyi Arkhivnyi Fond) as a new base for the centralization and arrangement of all archival materials throughout the country. Their experience was reflected in every articles of the archival decree of June 1918.

  • This paper is a study on the relationship of archives and writing. Writing is an big issue these days. Archival studies need to be interested with writings. It's not just about writing skills. Archival studies have to try archiving more good relationships. Symbiotic approach can be worth the efforts. The main focus of this paper is on the writing in archives workshop. Archives workshop is a good place where writing and archiving have a symbiotic relationships. Writing is an archival try to invite the values of 'requests, inquiring after, observes, conversation' to archives. These archival practices can contribute the symbiotic approach to constructed archives.
